Recording the Open & After Hours Voicemail

2 Types of Voicemails

Global Voicemails - voicemails that are not attached to or controlled by any phone. Messages and greetings can be accessed/edited by any phone.

  • OPEN HOURS
  • AFTER-HOURS

During the hours where your phones are in “Open” mode, if for some reason your staff is not able to answer the phones during the pre-approved ring pattern we’ve discussed, they will reach an OPEN HOURS voicemail. This voicemail will say something along the lines of “Thank you for calling. We are currently assisting other customers. Please leave us a message, and we will get back to you as soon as possible.”

 

During the hours where your phones are in “Closed” mode, callers will reach your after-hours message.

We recommend that both open hours and after-hours messages are recorded by you/your staff as a BEST PRACTICE.

To edit Open Hours voicemail greeting:

  • Without picking up the cradle from the handset, on a Desktop phone, dial 901 (please allow a few moments for the call to connect)
  • When prompted, enter in 901# for the voicemail box number
  • You will hear a prompt to change the greeting

To edit After Hours voicemail greeting:

  • Without picking up the cradle from the handset, on a Desktop phone, dial 902 (please allow a few moments for the call to connect)
  • When prompted, enter in 902# for the voicemail box number
  • You will hear a prompt to change the greeting

To set up a voicemail for a specific extension: 

  • Press the message button or dial *97# to enter the Voicemail
  • Enter Personal Box Number: XXX# (same as the extension)
  • Enter Voicemail Password: 1111#
  • To Change Settings Press: 5
  • Then To Record A Greeting Press: 1 & # when finished recording
  • Follow these same directions if ever you need to change this voicemail message
